About the Venue
Caramoor is primarily an outdoor venue in an open-air, natural setting. Our grounds and gardens provide a lovely backdrop for a ceremony or cocktails, while one of our tented venues is included in your outdoor rental for dinner and dancing. Our outdoor facilities are available from mid-May to the first week of June, and August to early October. Our indoor spaces are available year-round.
General Site Fees
Site fees vary and are determined based on your needs and specifications. Fees and expenses related to the rental of Caramoor are considered non-tax-deductible according to the guidelines of the Department of Internal Revenue. These fees are based on the size of your event, type, number of locations, and your particular needs (such as additional tenting and party rentals), and increase accordingly. All fees are inclusive of ample parking accommodations throughout the grounds.
Event rental fees begin at $1,500 for small parties, receptions, and meetings.
Caramoor’s exclusive caterer, Great Performances, is NYC’s leading catering company –enhancing life’s celebrations with delicious food, artful culinary presentations, and gracious service. Their menus are a celebration of contemporary American cuisine, incorporating clean, vibrant, and seasonal ingredients. Great Performances operates a 60-acre organic farm, Katchkie Farm, in Kinderhook, NY, and sources locally when possible. Hospitality fees (which include the cost of food, liquor, and other beverages, and wait staff) start at $350/per person. Rentals (i.e. chairs, linens, silverware, etc.) start at $100/per person.
How much will a wedding at Caramoor cost?
If you have under 250 guests, your celebration may take place in our Pavilion Tent, which begins at $12,500 for a 7-hour time period. This will include the grounds and gardens for your ceremony and cocktail hour.
If you have over 250 guests, your wedding and reception will happen in the Venetian Theater, which begins at $35,000 for a 7-hour time period on the day of your event, plus an 8-hour load-in day the day before your event. This will also include the grounds and gardens, plus the Pavilion Tent and Friends Field Stage!
Catering, Equipment Rentals, and additional Services are contracted separately and are additional to the prices noted above.
Is it possible to extend my party until after 11:00pm?
Yes! Although our standard rental period is from 4:00pm–11:00pm, for weekend events (Friday and Saturday), the party can be extended until 12:00am for an additional $2,000. The music must end promptly as per town ordinance. Many of our couples move back to Friends Field Stage for an afterparty with a DJ and dancing!
What happens if it is raining on my wedding day? Do you have a recommended rain plan?
For receptions held in the Reception Tent: Though we do have some covered spaces here at Caramoor, we highly recommend reserving an additional tent or two from one of our exclusive tenting vendors in case of rain. This tent may be placed on Tapestry Hedge (or Friends Field Lawn depending on the time of year) for an additional fee and could cover your ceremony and/or cocktail hour.
For receptions held in the Venetian Theater: An additional tent may not be necessary. You may use the Reception Tent for your ceremony or configure the Venetian Theater to accommodate the ceremony or cocktails and your reception depending on the guest count.
If your rental area includes the Friends Field Stage: This covered space can hold about 200 seated for a ceremony, and 100 comfortably for a cocktail hour and would be protected in light rain.
You may also consider marquees tenting to connect venues or having umbrellas for guests.
Does Caramoor have Wi-Fi?
Our grounds have a free Wi-Fi network that covers most of our grounds that you, your vendors, and guests can use. Additional Wi-Fi networks may be available upon request for your A/V vendors, and an additional fee may apply.
Do I need to use your exclusive caterer, Great Performances?
Great Performances is the best in the business, and we love working with them for weddings, and our own events, but if you require a specific dietary or cultural caterer such as Kosher or Indian, you can contract an outside caterer for the food only. Great Performances would still be required to do your bar, staffing, and service rentals, and there is a $20 per person buyout fee.
I know that we should work with Party Rentals Ltd., but curious about how the process works. Do we work with Party Rentals separately, or do you have a contact you’d like us to work with?
Great Performances will be your contact to Party Rental Ltd. The team there will guide you through the rental process, and take you on a visit to the Party Rental showroom to pick out your linens, chairs, flatware, etc.
What time can my vendors arrive?
All Vendors, excluding Great Performances and Party Rental, may arrive on campus beginning at 10am on the day of your event. Pre-arranged exceptions may apply. Load out must be complete by 1 hour after your party ends.
For Venetian Theater rental set ups, vendors may work from 9am-5pm on the day before the event. Pre-arranged exceptions may apply.
If you need more time to load in or out, additional days may be available depending on Caramoor’s schedule. For an extra 8-hour day of vendors on site, the cost will be $7,000.
Can I drop off any wedding décor and supplies the day before my wedding and pick them up the day after?
Small items may be dropped off or left here with approval from the Special Events Department. Caramoor is not responsible for the loss or damage of these items.
Is there a backup generator at Caramoor in case the power goes out?
Yes! Caramoor has a backup generator that covers the Venetian Theater, Pavilion Tent, and Friends Field. So even if the power goes out, the party can continue!
What Lighting and AV equipment is included at with the venue?
All of Caramoor’s venues and pathways are lit for safety, but feel free to bring in specialty path lighting to make the event your own!
Our Pavilion Tent is a blank space that can be customized by your vendors. House lighting includes pole-hanging lanterns, and string lights wrapped around main two tent poles. The Italian Pavilion has an up light in each corner. Any additional technical equipment would need to be brought in by your Lighting and A/V vendors or Band/DJ.
In the Venetian Theater, the in-house lighting package may be used for an additional fee and requires the use of our in-house Lighting Designer. If additional lights and sound are required, they would need to be rented from an outside company and brought in.
Friends Field Stage has four lights that illuminate the covered area, and we have some flood lights that can light the lawn as well.
How much power is available at each venue?
There is plenty of power here at Caramoor! Specific venue schematics are available upon request.
Do couples who do weddings at Caramoor typically hire wedding planners, designers, or coordinators? If so, how does the process typically work to coordinate with you and your team?
Most couples choose to hire a planner or designer, though not all. We do require a planner for all Venetian Theater events as this ensures a smooth wedding day! Once you let us know you have a planner booked, we typically will work directly with them, and you can choose how involved you would like to be at that point in the day-to-day communications and decisions. Your planner can help you secure the necessary COIs and will give you the best advice on rain plans and other details that may be missed. If a full wedding planner isn’t in your budget, we also have recommendations for month-of and day-of coordinators to help run your big day.
